New Years Resolutions with AgendaPalIt’s officially a new year and a new chance to change up your workplace habits for a fresh take on productivity in the office. In addition to behaviors that directly relate to productivity within the city management and IT departments, it’s also important to focus energy on the people and relationships within the office in order to build team rapport and personal satisfaction.

On average, we spend 35-50% of our work day in meetings. Meetings can range from extremely productive to major time consumers with little resolution. One of the first things you can do that will make a major impact on office productivity is by limiting the number of meetings that occur. By scheduling fewer meetings, or meetings that have a clear agenda and expected outcome, you will not only get time back in your day but the meetings you do have will be clearly defined. Leveraging agenda management tools that automate the agenda creation process can also help to eliminate superfluous meetings.

Make a resolution to take the office outside. In addition to a calendar with less meetings on it, the meetings you do have can also be an excuse to get some much needed fresh air. These “walking meetings” are a great opportunity to stay productive while getting some exercise at the same time. Walks get the heart pumping, can expel nervous energy, and expand the traditional workspace to include the outdoors.

Make a list! Making lists is also a great way to complete tasks and stay on target with a project or agenda process. Whether these tasks are written down or automated in an online tool like AgendaPal, lists are imperative to staying focused.

Although we call it “spring” cleaning, starting off the new year with decluttering can help relieve stress and keep everything organized. This includes both the paper files and digital ones as well. Keeping your folders organized and deleting the trash makes future projects and agenda creation much more streamlined and productive. Clutter can accumulate with even the most productive and organized city clerk or manager. Taking the time to get control of your digital workspace is a game changer.

Take a break! Mental breaks can also play a huge role in making your active time more productive. Sitting hunched over a computer for long periods of time can take a toll on the body. And keeping focused for hours on end can drain your energy as well, leaving you lethargic and unmotivated. Figure out when your productivity starts to drain and set a timer to take a break and stretch your legs and your brain. When you get back to work, you’ll have a full tank of mental gas to hit the ground running.

Finally, set some short-term and long-term goals for your team, and track your progress towards meeting them. Everyone’s individual goals can ladder up to the team goals which helps everyone in the office see their contribution to the bigger picture. This can not only help boost office moral, but it keeps everyone motivated and productive.
